Per-car pricing wins below roughly 40 vehicles. Tiered pricing wins above it, because the rate stops scaling with fleet size while per-car charges keep climbing.

What drives the price up or down?

  • Fleet size. The largest single driver on almost every platform.
  • Number of locations. Multi-branch support is frequently reserved for higher tiers or billed per branch. Some platforms do not offer it at all. FleetHQ includes unlimited locations on standard plans, which removes this variable.
  • Verification depth. ID checks, insurance verification and criminal background checks are sometimes bundled and sometimes billed per check. This is the most common source of a bill that does not match the quote.
  • What is bundled. A branded website, custom domain, SMS and email automation, and marketing integrations are included on some platforms and paid add-ons or absent on others. A $34 plan that excludes your website and messaging is not a $34 plan.
  • Contract length. Annual billing typically discounts 15 to 20 percent. FleetHQ's annual discount is 20 percent.

On a $400 rental paid by a domestic US card, the processing fee is $11.90. On the same rental paid by an international card in another currency, it is $21.90.

The fixed $0.30 matters more on small transactions. On a $400 rental it is negligible. On a $40 hourly rental it is close to a full percentage point on its own.

A note on commission. FleetHQ charges zero platform commission on your bookings, and payouts go directly to your own account. That is not the same as zero fees. Processing rates, card network charges, currency conversion and dispute fees still apply, as they would with any platform.

Processing fees should appear separately from booking revenue in your reports, so your revenue figures are gross and your fees are visible. If a platform blends them, your margin numbers will be wrong.

Do verification and insurance cost extra?

It depends on the platform. Three arrangements exist:

  • Bundled. Verification is included in the plan price with no per-check charge. Simplest to budget.
  • Per check. You pay each time a renter is verified. It scales with booking volume, so a high-turnover gig fleet pays considerably more than a leisure fleet with the same vehicle count.
  • Third-party billed. The platform integrates a provider and you hold a separate account with them.

Renter-purchased trip coverage is different and is not your cost. When a renter cannot verify their own policy, they buy on-rental damage and liability protection at checkout and pay for it themselves.

Ask any vendor directly: is verification included, per check, or billed by a third party? The answer changes your monthly cost more than the headline rate does.

Factor it into year one, not month one. At 10 vehicles, HQ Rental Software's $120 a month plus $550 setup is $1,990 in the first year, against $1,428 for a $119 flat tier with no setup fee. The monthly rates look nearly identical; the first-year totals do not.

By captured bookings. A four-day rental at $70 a day is $280. Against a $119 monthly subscription, the break-even is 0.43 bookings. Software pays for itself if it captures one additional booking every ten weeks that you would otherwise have missed.

By admin time recovered. A 10-vehicle fleet produces roughly 548 bookings a year. Manual handling runs about 31 minutes per booking. That is 5.7 hours a week, close to 300 hours a year. If software cuts it to five minutes, you recover most of that.

Run both against your own numbers. The threshold is usually much lower than operators assume.

  • The setup fee. Always calculate year one, not monthly.
  • The tier ceiling. Ask what happens when you cross it and what the next tier costs.
  • Per-check verification charges. These scale with booking volume, not fleet size.
